Position Summary
Under the general direction of the Property Manager, this position is responsible for overseeing the daily operations of Asset Management within Accounting Services. Key responsibilities include managing physical inventories, performing reconciliations, tagging equipment, processing disposals, entering data, and maintaining accurate asset records. Strong communication skills are essential, as this role interacts across various levels of the organization.The incumbent will manage asset data in the PeopleSoft Asset Management system and ensure timely monthly updates to Louisiana Property Assistance Agency (LPAA). Additionally, this role will review financial data to ensure expenditures are properly classified and that asset management reports are complete, consistent, and accurate.
Job Duties
Manages the daily activities of the Administrative Coordinator 4 and the Administrative Coordinator 3 in all aspects of Property Management to include the annual physical inventory, accounting, data entry, equipment tagging, and equipment disposition. Researches and resolves problems to avoid delays in tagging and/or data entry. Performs sample audits to assure accuracy in tagging. Trains Asset Management staff on policies and procedures regrading movable property. Trains department personnel and purchasing staff on proper coding and categorization of equipment. Runs weekly Auxiliary reports. Reviews coding on order entries and recommends changes. Identifies and allocates expenditures to proper categories. Reviews payment reports for accuracy and recommends needed corrections.
Manages the daily operations of the PeopleSoft Asset Management database, submits change requests and updates to the LPAA Asset Works database. Facilitates effective operations and coordinates integration of Property Control in LSU Health operations.Coordinates, directs, and performs the perpetual physical inventory of movable property with the acquisition cost of $1,000 or more. Maintains records and prepares reports and/or correspondence relative to the inventory system.
Reconciles the inventory records with the physical count. Performs follow up physical checks for missing assets. Reviews inventory data for accuracy in the PeopleSoft database to include changes in (not limited to) location, department, and inventory status. Uses the PeopleSoft query system to develop and retrieve special reports to meet the customer departments' requests for information and the needs of the inventory staff.
Maintains a working relationship with more than 228 departments with custodianship of property and coordinates the inventory requirements for these departments. This includes developing procedures necessary to maintain an accurate inventory, answering inquiries, researching problems, and providing reports.
Requirements: Bachelor's degree and one year experience.
