The Executive Administrative Assistant provides dedicated administrative support to one or more of Prime's Executive Leadership Team (ELT) members. This position will manage calendars, travel arrangements, expense coordination and other high-level administrative duties on behalf of their executive.

Responsibilities include:

  • Providing administrative support to one or more of Prime's Executive Leadership Team (ELT) members; serving as first point of contact for the assigned executive(s) by effectively managing telephone calls and/or visitors and ensuring a consistent experience for all guests of the department or facility
  • Managing calendar(s) and ensuring adherence to scheduled appointments; specifically responsible for the intake, prioritization and scheduling of new meeting requests, as well as supporting on-time transition between meetings or appointments
  • Coordinating travel on behalf of leaders and ensuring the appropriate lodging, car service and/or other necessary accommodations are secured; may be responsible for contracting with vendors to secure facilities and/or negotiate rates in the best interest of Prime
  • Coordinating large or sensitive team meetings and/or conferences that may extend beyond executive functions at Prime; ensuring facilities, technology and materials or handouts are adequately prepared and distributed
  • Documenting, maintaining and enforcing policies and procedures in support of business operations; serving as initial point of contact for guidance, approval or routing to the assigned executive for review, signature, or decisions
  • Supporting executive with general administrative tasks and special projects, including but not limited to preparing presentations, meeting materials, onboarding/offboarding activities, coordinating print, administering the recognition program, ordering supplies, maintaining records and/or coordinating large site events
  • Collaborating with key stakeholders across the enterprise to create materials for board of directors and committee meetings
  • Developing and maintaining business connections both inside and outside of Prime; maintaining confidentiality for circumstances that are highly sensitive in nature
  • Capturing and distributing meeting minutes at executive leadership and other management or committee meetings
  • Tracking and processing invoices and expenses on behalf of the assigned executive
  • Other duties as assigned

Minimum qualifications include:

  • High school diploma from an accredited school or equivalent GED is required
  • 4 years of experience in administrative role with at least 3 years of experience at Prime or 3 years of experience directly supporting a C-level executive
  • Must be eligible to work in the United States without need for work visa or residency sponsorship

Additional qualifications include:

  • Advanced computer skills including Microsoft office suite of programs (MS Word, Excel, PowerPoint and Visio)
  • Previous experience creating executive level spreadsheets, presentations and reports
  • High degree of professionalism and executive presence
  • Excellent oral and written communication skills
  • Demonstrated organizational and time management skills
  • Strong attention to detail with the ability to handle sensitive and/or confidential information and materials
  • Ability to anticipate needs and proactively find solutions
  • Ability to work autonomously in a changing and dynamic work environment
  • Ability to handle continuous change and shifting priorities
  • Ability to work well with all levels of internal management and staff, outside clients and vendors

Preferred qualifications include:

  • Bachelor's Degree
  • Previous experience in healthcare, Pharmacy Benefit Management or Managed Care environment
