Phelps Dunbar LLP is an AmLaw 200 full-service law firm. The Office Services Clerk shall be responsible for maintaining the kitchen, coffee rooms, employee lounge, conference rooms, and client areas. The Office Services Clerk will serve as back-up/relief receptionist and assist in the mailroom. In addition, he/she will assist with additional office services duties.

Essential Duties and Responsibilities:

  • Provide excellent service to attorneys, management, staff and other professionals.
  • Work consistently and effectively in a team environment.
  • Responsible for maintaining the kitchen, coffee rooms, employee lounge, and client areas.
  • Responsible for the timely setup and cleanup of conference rooms for meetings.
  • Responsible for serving as back-up/relief receptionist including duties such as greeting guests, answering phones, scheduling conference rooms, and audio/video conferences.
  • Assist with mailroom duties as needed.
  • Responsible for inventorying, ordering, and stocking kitchen, coffee rooms, employee lounge, client areas, and bathrooms with supplies.
  • Responsible for stocking office supplies in conference rooms.
  • Responsible for stocking and ordering restroom supplies.
  • Responsible for checking and replenishing first aid supplies.
  • Assist with other office services tasks and projects as requested.

Requirements

Education and Experience:
  • Minimum of a high school diploma or GED is required.
  • Prior client service or receptionist experience in a law firm, professional environment, or high-end hospitality environment preferred.

Qualifications and Skills Required:
  • Must be detail oriented, timely, and organized.
  • Professionalism and ability to interact and communicate effectively in a business environment.
  • Walking and standing the majority of work day.
  • Ability to lift up to 35 pounds.
  • Ability to work in a high volume, service-oriented environment.
  • Computer literacy, including Microsoft Outlook.
  • Excellent organizational skills.
  • Willingness to function as a team member.
  • Excellent verbal and written communication skills.
