JOB DESCRIPTION SUMMARY

The Traffic and Logistics coordinator provides logistical support for both domestic and international operations. This position requires exceptional attention to detail, the ability to manage multiple priorities simultaneously, and a strong sense of urgency. The coordinator ensures full compliance with company policies, procedures, and applicable regulations while embracing our core values in a dynamic work environment.

HOURS OF WORK

Non-Standard Office Hours

While shift patterns may change for departmental coverage, standard coverage will require employees to complete 12-hour shifts on a rotating schedule (2-2-3 pattern), including nights (18:00-06:00), weekends, and holidays to ensure continuous coverage for 24-hour support.

SCOPE OF DUTIES AND RESPONSIBILITIES

  • Prepare and distribute comprehensive vessel reports, including vessel locations, current activities, and anticipated movements to ensure operational visibility and planning accuracy.
  • Follow established emergency protocols for incident intake and escalation, ensuring timely and appropriate response to operational disruptions, or safety concerns.
  • Utilize company computer systems to accurately record, manage, and distribute professional event reports and operational updates.
  • Adhere to company guidelines for all departmental activities.
  • Perform a wide range of general administrative duties, prioritizing tasks effectively to meet deadlines in a fast-paced environment.
  • Communicate clearly and professionally with internal teams, external partners, and service providers to maintain smooth operations.
  • Coordinate port arrangements for coastwise and international vessels, including scheduling arrivals and departures, managing agents, pilots, wharfage, regulatory authorities, bunkering, and related formalities
  • Dispatch and coordinate third party contractors (e.g., Cooks, Riggers, Crane Operators) to ensure timely and efficient service delivery.
  • Respond promptly to operational challenges, troubleshooting issues, and implement solutions to mitigate any delays or disruptions.
  • Facilitate transportation, including company vehicles, cabs, and other modes.
  • Support continuous improvement initiatives, identifying opportunities to enhance efficiency, reduce costs, and optimize logistics processes.
  • Ensure compliance with all applicable laws, regulations, and international standards, including customs and maritime requirements.
REQUIRED QUALIFICATIONS
  • Education: Bachelor's Degree or equivalent knowledge working in the maritime industry
  • Experience: Equivalent of five years' experience in marine logistics, dispatch, operations, port agent, or as a merchant mariner

DEMANDS AND WORK ENVIRONMENT

Eyesight: Functional, correctable to 20/20

Hearing: Functional, correctable to normal to perceive sounds at normal speaking levels with or without correction; Ability to receive detailed information through oral communication and to make discriminations sound.

Speech: Ability to express or exchange ideas by means of the spoken word.

Mobility: Unencumbered by physical limitations to perform the following activities: Sedentary work in an office environment that includes frequent sitting, occasional standing and walking, gross and fine motor dexterity for typing and reasonable lifting of office products up to 10 lbs.

Note: Rotation schedule may vary and is subject to change based on vessel requirements.
