Job Summary

We are seeking an experienced Senior Administrative Assistant to provide high-level support to the VP of Labor & Employment Legal and two AVPs within a Fortune 500 retail organization. This role supports complex and confidential matters while coordinating schedules, documentation, and department logistics in a fast-paced legal environment.

Key Responsibilities
  • Provide diversified administrative support to the VP and AVPs
  • Manage multiple calendars, appointments, and meetings
  • Respond to inquiries and research requests involving confidential matters
  • Collaborate with associates across departments to resolve issues
  • Process settlement check requests
  • Maintain organized files, records, and matter management systems
  • Coordinate meetings (catering, room booking, follow-up)
  • Manage documents and spreadsheets
  • Act as proxy for designated internal systems
  • Support mail rotation, including opening and scanning mail
  • Assist with meeting, training, and conference logistics
  • Coordinate travel itineraries and process expense reports
  • Provide additional administrative support to the Legal Team as needed
Required Experience
  • 8+ years of administrative assistant experience
  • Strong attention to detail and follow-through
  • Excellent written and verbal communication skills
Nice-to-Have Experience
  • Legal office experience
  • Associate's degree or equivalent certificate program
  • Experience with legal, matter management, and document management systems
Required Skills
  • Advanced administrative support

  • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
